About this policy

This Privacy Policy explains how FormuMate collects, uses, stores, and discloses personal data when you visit our website, create an account, or use our formulation tools and related services. By using FormuMate, you acknowledge the practices described in this policy.

Personal data we collect

Account data. FormuMate uses Google sign-in. When you create or access an account, we receive the email address, display name, account identifier, and other basic profile information made available by Google. FormuMate does not receive or store your Google password.

Content and records you provide. We store information you add to the service, including formulas and formula versions, inventory records, supplier details, notes, favorites, and saved Formulation Assistant conversations. Supplier records may include contact information that you choose to enter.

Assistant inputs. When you use the Formulation Assistant or Skin Chat, we process your messages, relevant formula context, and any images you choose to attach in order to generate a response.

Support and beta information. We collect the information you submit when you send feedback, report a problem, contact us, or join the beta tester list. This may include your name, email address, and the contents of your message.

Usage and analytics data. We record information needed to apply service limits, such as daily message counts and the number of saved chats associated with your account. We also use Google Analytics on the public website to understand visits and general product usage.

Guest data. If you use FormuMate without signing in, we place a randomly generated identifier in your browser to apply usage limits. Guest conversations are kept in your browser and are not saved to our database unless they are later transferred to an account after you sign in.

How we use personal data

We use personal data to:

• Create and administer your account and authenticate your access.
• Provide calculators, assistant responses, saved work, and other service features.
• Maintain conversation history where you have chosen to save it.
• Apply usage limits and protect the service against misuse.
• Respond to support requests, investigate errors, and improve performance.
• Understand aggregate website traffic and product usage.
• Send beta program communications to people who have joined the beta list.
• Comply with applicable law and enforce our Terms and Conditions.

We do not sell your personal data or use it for targeted advertising.

AI processing

FormuMate uses a third-party AI provider to generate Formulation Assistant and Skin Chat responses. When you submit a request, the provider receives the text of your message, relevant formula context, and up to three attached images. Images are transmitted for the request but are not stored in FormuMate's database or included in saved conversation history.

The AI provider processes submitted information in accordance with its own contractual terms and privacy practices. Do not submit personal, confidential, or sensitive information that is not necessary for your request.

Conversation storage

Formulation Assistant. When you are signed in, threads and messages are stored in our database so that you can return to them. You may keep up to five saved threads and may delete a thread at any time.

Skin Chat. Skin Chat history is stored only in your browser's local storage and is not saved on FormuMate's servers. It may be lost if you clear browser data, change browsers, or use another device.

Guest conversations. Conversations created while signed out are stored locally in your browser. If you subsequently sign in, that history may be transferred to your account.

Authorized service administrators may access stored Formulation Assistant conversations where reasonably necessary to provide support, investigate abuse, diagnose technical issues, or maintain the service.

How we disclose personal data

We disclose personal data only as necessary to operate FormuMate, comply with law, or protect the service and its users. Our service providers include:

• Authentication and database providers that manage sign-in and store account data and user content.
• AI service providers that process prompts, formula context, and submitted images to generate responses.
• Hosting providers that operate the website and backend infrastructure.
• Analytics providers that help us understand aggregate traffic and usage.
• Email service providers that deliver beta program communications.
• Stock image providers that receive public recipe title text when FormuMate searches for library cover images.

We may also disclose information where required by law, legal process, or a lawful request from a public authority, or where reasonably necessary to protect rights, safety, or the integrity of the service.

Cookies and local storage

FormuMate uses browser local storage to maintain your sign-in session, guest identifier, Skin Chat history, cached library images, and display preferences. Google Analytics may place analytics cookies on the public website. FormuMate does not use advertising cookies or advertising trackers.

Data retention

We retain personal data only for as long as it is needed for the purposes described in this policy:

• Account and profile data is retained while your account remains active.
• Formulas, inventory, suppliers, and favorites are retained until you delete them or your account is deleted.
• Formulation Assistant threads are retained until you delete the thread or your account is deleted.
• Skin Chat and guest conversations remain in your browser rather than our database.
• Guest usage counts are held temporarily to apply daily limits and are not retained as a long-term personal record.
• Beta list information is retained until you ask to be removed.

Limited information may be retained for longer where required by law, necessary to resolve disputes, maintain security, or enforce our agreements.

International data transfers

FormuMate is operated from Ghana, while our database, AI, and hosting providers use infrastructure located in the United States. As a result, personal data may be transferred to and processed outside Ghana. We take reasonable steps to use service providers and safeguards appropriate to the nature of the information and the services being provided.

Your rights and choices

You may edit or delete formulas, inventory items, supplier records, favorites, and saved Formulation Assistant threads through the service. You may also update your display name. To request access to, correction of, or deletion of other personal data associated with your account, contact us through the Contact page.

Subject to applicable law, including Ghana's Data Protection Act, 2012 (Act 843), you may have rights to be informed about the processing of your personal data, request access to or correction of that data, object to certain processing, and lodge a complaint with Ghana's Data Protection Commission. We may need to verify your identity before completing a request.

Security

We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, or alteration. Private user content is subject to account-based database access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children's privacy

FormuMate is not directed to children under 13, and we do not knowingly collect personal data from children under 13. If you believe a child has provided personal data to us, please contact us through the Contact page so that we can investigate and take appropriate action.

Changes to this policy

We may update this Privacy Policy to reflect changes to FormuMate, our service providers, or applicable legal requirements. The current version will be published on this page. If a change materially affects how we handle personal data, we will provide additional notice where appropriate.
